Crowdler AB operates PoleCanvas. When you submit a quotation request, we save your contact email, selected design, quantity, delivery country and postcode, supplied pole measurements, optional project notes and the language of your request. We also keep the request reference, private-access and retry-key hashes, individual quotes and dated status changes. We use this information to assess your request, discuss fit and artwork, prepare a quote and prevent duplicate or unauthorized changes. We process a requested quote to take steps at your request before a possible contract; business-enquiry and essential security processing is based on our legitimate interests. A request is not an order, payment or marketing permission. Please do not submit sensitive personal information or confidential artwork.
Your private link gives access to your request. Keep it confidential; the reference alone does not grant access. This browser tab retains an unconfirmed submission and its retry key so you can safely retry, and retains private access for this tab's tracking view. No confirmation email is sent automatically. If you lose the link, email sam@crowdler.com; we must verify control of your original contact address before replacing access. Operators use a separate Clerk-protected account; customers do not need an account.
Vercel hosts the request service and Neon stores the quotation records. We select Frankfurt for this request service and database; these providers and their subprocessors, and Clerk for operator authentication, may also process information outside the European Economic Area under their applicable data-processing terms and international-transfer safeguards. Frankfurt hosting does not mean all processing stays in the EU. Related email correspondence is kept in Crowdler's Microsoft 365 mailbox.
If you later accept an individual quote and pay, Stripe hosts the payment page. We store verified payment references/status and the delivery details needed to fulfil the agreed order, and share only necessary information with manufacturing and delivery partners. PoleCanvas does not receive or store your card number. Opening checkout does not start manufacturing; payment must be independently verified and the agreed specification confirmed.
We review unpaid quotation records for deletion 90 days after the last meaningful interaction. Records may be kept longer for an active discussion, an agreed order, a claim or a legal obligation. Accounting evidence is retained for the applicable statutory period; optional enquiry notes are not automatically kept for the same period. This is a review policy, not a promise of automatic deletion or immediate removal from provider backups.
